South East Region AGM minutes Held on Saturday 8th February 2003

at The Royal Oak Public House, Chartdown, Dorking Surrey

 

Members present:

   Dave Brentnall - Chairman & Secretary

    Selwyn Frostisk - Treasurer

   Melvyn Pettit - Events co-ordinator

   Other members present: Rob Parkin, Glen & Pauline Wells, Bill Semmes & guests, Tony Calvert, Mike Procter.

 

Item 1. Introduction:

   The Chairman introduced members of the committee to those attending the AGM. Dave also expressed the sadness felt by the South East Region committee and regions members of the passing of active club member Rob Lynam last November. He extended our sympathies to Wendy.

Item 3. Minutes of Last AGM:

   The minutes of the last AGM were distributed. Proposed by Selwyn Frostick and seconded by Mike Procter.

 

Item 4. Chairman's report:

   Dave said it has been a year since he was elected as Chairman and thanked the other two members of the SE Region committee for their hard work, help and support during the year.

 

   Dave commented that Melvyn and Selwyn are stalwarts in the region. Melvyn dispirit his hip problems during 2003 worked hard for the region ensuring that the web site and magazine articles were fully reported and up to date. Selwyn worked hard on maintaining the regions equipment and ensuring that the caravan not only was in good shape but also there was plenty of food and drink available when attending events.

 

   Thanks were also extended to all members of the region who attended events during the year in helping to make the days successful and enjoyable. He also hoped to many more new faces at events in the forthcoming year.

 

   He briefly outlined some of the events the region had attended during the past year such as the Bexhill 100 and Ford RS events. A well presented stand and good display of cars help the region win the visiting club stand at the Ford RS. It was mentioned this was the second time the club has won this award.

 

   Other events in 2002 were the club annual Concours event, which was held at Beech Court Gardens at Challock in Kent, which was a resounding success with a good turn out of more than 50 cars and Cliftonville Classic Car Show.

 

   The introduced of Pub meetings have proved to be very successful and long may they continue.

 

   Dave commented that over the years the committee has steadily reduced from 7 members to it current number of 3. The committee now needs some new blood with fresh ideas and an invitation is open to any member of the region would like join the 3 Musketeers in carrying on this enjoyable and worthwhile challenge.

 

Item 5. Treasurer's report:

   Copies of the balance sheet were distributed to members present.

 

   The finances are in a stable condition with £823 in the bank.

 

   The national committee have imposed certain conditions on the regions and registers from this year, in the respect that we have to be self-supporting and pay our way from 2003 on. The national committee feel that they have to spend the clubs money on members who do nothing for the club except read the magazine and do not attend events.

 

   Because only 2% of club members attend events, and therefore we now have to make sure that the events do not cost anything to the club. So in future, events will not be put on or attend by the region unless we can obtain sponsorship. With the present financial climate, and trimming back in business in the South East. Selwyn said he did not know how this will work out, as you cannot force companies to sponsor events or make club members attend events.

Item 6. Events Co-ordinator's report:

Future programme

   Melvyn circulated a list of proposed events for the region in 2003 with copies of the minutes for the last AGM meeting.

 

   Brief list of forthcoming events:

Melvyn Thanked all those club members who helped and attended events in 2002.

The late date Concours event proved a success with over 50 cars attending.

23rd February : Pub meeting with the Wessex region

March 15/16th : The London Classic Motor Show 02 register Alexandra Palace

May 11th : Inter regional Driving Contest at Beaulieu

May 17th : National AGM at National Motorcycle Museum. NEC

June 1st : Brooklands to Bentley Run

June 7/8th Provisional date: Bexhill-on-Sea now changed to Classic Car show.

June 15th regions members invited to 02 Okotberfest at Beaulieu

June 29th : ETTC race at Donington Park

July 23rd to 30th Spa –Francorchamps 24hr race trip

TBA - Region Concours. The venue for this event has not yet been agreed (sponsorship)

Item 7. Web site:

   Melvyn said the new layout of the web site has proved a success. He has had a lot of positive feedback to it. The new layout has allowed him to place around 100 pictures in the picture galleries and more pages on the site. The new address of www.bmwcarclubse.co.uk and the web site has been promoted by the club by having a direct link from the homepage and South East region page of the clubs site. The site is also listed on some search engines.

 

   He also reported that he has had a lot of enquiries from people about the club and our region. Some have joined the club, Joined the SE e-mail Newsletter, or just wished to sell their BMW’s or need information about their BMW.

 

   The dealership page is now up and running, and during the year he will be contacting Dealerships to hopefully persuaded them to sell life’d parts or any other offers, to club members at cost price or less.

   The web site is sponsored by Melvyn and therefore no cost to the region.

 

Item 8. Election and re-election of Committee members:

   David, Selwyn and Melvyn stood down and put themselves up for re-election

   David was re-elected Chairman: proposed by Melvyn Pettit and Seconded by Glenn Wells

   Selwyn was elected Secretary: proposed by David Brentnall and Seconded by Bill Semmes

   Melvyn was re- elected - Events co-ordinator & SE webmaster:,

proposed by Bill Semmes and Seconded by Tony Calvert

   Rob Parkin was elected Treasurer: proposed by Melvyn Pettit and seconded by Selwyn Frostick

   Glen Wells was elected committee member: proposed by Melvyn Pettit and seconded by Rob Parkin.

 

Item 9. Any Other Business:

   There was no any other business. A general discussion took place regarding the sponsorship of events and how the high cost of living in the South would effect this years events.

The AGM began at 7-30pm and closed at 8-30pm followed by a meal in the restaurant at the venue
